Physical Delegate FAQs
Agenda & Event Format
All attendees in the room will have 3-4 hours of networking provisioned as a part of the conference program each day. Ranging from refreshment breaks, to speed networking, to organized breakout and roundtable sessions. All refreshment breaks will be held in the exhibition area, providing regular exposure throughout the day to your booth. For specific information about networking at this event, please refer to the Full Event Guide.
Both physical and virtual attendees will have access to our virtual platform for the conference schedule and updates. As a physical pass holder, you will not have access to the live stream of content, but you will be able to connect with the virtual attendees in numerous ways: send direct messages to attendees in the people tab, ask live questions during all presentations, and provide real-time updates to the event schedule.

Breakouts are discussion sessions grouped by shared interests e.g. a theme, topic area or question. These sessions will have a dedicated moderator who will set the context and start the discussion, after which you will be able to discuss the theme, topic area, or questions with your peers in the same room. This is your opportunity to get specific advice on your current challenges and share lessons learned in a more intimate setting.
Both physical and virtual attendees will be encouraged to use the access provided to a virtual platform. This will allow you to send direct messages to attendees who have chosen to appear on the delegate list, ask live questions during all presentations, and provide real-time updates to the event schedule.
On conclusion of the event you will be provided with information on how to access the post-event materials, this includes any presentation slides and recordings we have been given permission to share.

Tickets & Registration

Yes, you may register on behalf of someone else. When you book online we'll need you to provide the name, job title, company and contact details of the person you wish to register so we can make sure they receive their details.
Virtual conference passes will only allow you to access the event and cannot be shared with colleagues or anyone else. If more than one member of your team would like to attend, you can take advantage of our group discounts, for more information please contact customerservice@hansonwade.com.
Physical conference passes can be transferred to a colleague at any time before the start of the event.
If you let us know in advance, we can swap your pass with a colleague or client of your choosing.
Hybrid attendance passes will not be available for this event. Your physical access pass will permit you to access all in-person content only on the scheduled event dates.

Conference Venue, Travel & Accommodation
We are currently negotiating with the conference venue to secure rates and options for our attendees. As soon as this information becomes available you will be emailed by your event manager with options of how to book.
If you would like to book accommodation beforehand, we recommend that you secure flexible booking options and rates when making these arrangements, in case of a change in circumstances.
All attendees are responsible for making their own travel and accommodation arrangements.

Onsite Safety & Wellbeing
The safety and welfare of all our attendees remains paramount. We will adhere to government, local and hotel-specific guidance and regulations to ensure safety and hygiene measures are in place.
You will receive full guidance on specific provisions being put in place from your Event Manager 2-3 weeks prior to the event taking place. In the meantime, see our health and safety commitment to see the type of provisions you can expect.
Please notify your Program Director or Event Manager immediately if you display symptoms of Covid-19 within 14 days of the event starting. Anyone displaying Covid-19 symptoms will not be permitted to attend the event in person but will be able to convert your registration to a virtual pass to the conference or transfer your pass to a colleague instead.
Please notify your Program Director or Event Manager immediately if you have come into contact with another individual with COVID-19 within 14 days of the event starting or if you have been told to isolate by the authorities. You will not be permitted to attend the event physically but will provided virtual access to the equivalent program online.
Please notify one of the Hanson Wade onsite team immediately if you start to feel unwell or need assistance. They will be able to give you further support and direction.
Refunds & Cancellations
If you can no longer attend the event, you may cancel your booking up to 14 days prior to the date of the event by notifying us by email at customerservice@hansonwade.com.
Upon cancellation you will be entitled to receive a credit for a future event of your choice (up to the value of sums paid by you in respect of the event).

Physical Speaker FAQs
Your Participation
All presentations are required a week before the meeting. Reminders and deadlines will be sent to you by email by your Event Manager and Program Director.
All presentations and panel discussions will be recorded and streamed live on our virtual event platform for virtual attendees. We will also ask your permission to share your session with all attendees after the event. All approved sessions are saved on a password protected website for 3 months post meeting.
We will ask your permission to share your presentation with attendees, which will be made available as a PDF at the end of the meeting.
If you are planning to present sensitive data you are welcome to share an amended version with our attendees. It would be appreciated if this was provided 3 days prior to the event at the latest.

The best experience will be provided on a laptop or desktop using Chrome and Firefox browsers. You can use a mobile device, however some functionalities may be limited because of the screen size. We encourage to use a computer, however, if you opt to use a mobile device, ensure you are on strong Wi-Fi connection, as mobile phone networks are likely not going to have the required internet speed to handle video streaming.

Partner FAQs
Partnership Agreement
All details can be found in your partnerships contract. If you're unable to locate this, please contact your Partnerships Director.
Please ensure that all communication copies in your dedicated Partnerships Director, who will always act as your main point of contact. However, in addition to this you may also receive communication from your Event Manager for logistical related information and your Program Director for information around the speaking agenda.
Delegate lists are provided by your Partnership Director, please contact them directly if you require an updated copy.
Unless contracted otherwise, standard exhibition floorspace for booths are 10ft wide x 10ft deep (or 3m x 3m). Hanson Wade will provide you with: Two chairs, One draped table, And one access to power (500W). Should you require furniture, different/more electricity, Audio Visual equipment or floorplan - please contact your Partnership Director.

Unless specifically agreed otherwise as part of your sponsorship agreement, you will also have a virtual booth on the online platform for you to engage virtual attendees. The virtual exhibition space is accessible from the Reception page. In addition, the Demo Area will also include live and pre-recorded videos from our partners.
This will vary, but please watch this video for a visual demo. You will have the opportunity to show a pre-recorded video, branding, click through URL's to your site, and the ability to invite attendees to visit your booth.

You will not have any branding on the physical event signage or materials distributed in Dallas. However, all virtual and physical pass holders will have access to the virtual platform where your booth and branding will be hosted, which they will be encouraged to visit during networking breaks.
If you're speaking on the conference agenda, please refer to your contract for time allocated. We recommend presenting a case study and leaving 5 minutes at the end for Q&A. For all presentations we recommend leaving out the general company history / geographic information and jump straight to the content!
Yes, you will receive an information and a short video demonstration from your Event Manager prior to the event. The video demo will show you how to use the platform and get the most out of your participation.
All presentations are required a week before the meeting. Reminders and deadlines will be sent to you by email by your Event Manager and Program Director.
All presentations and panel discussions will be recorded and streamed live on our virtual event platform for virtual attendees. We will also ask your permission to share your session with all attendees after the event. All approved sessions are saved on a password protected website for 3 months post meeting.

If you are planning to present sensitive data you are welcome to share an amended version with our attendees. It would be appreciated if this was provided 3 days prior to the event at the latest.

Agenda & Event Format
All attendees in the room will have 3-4 hours of networking provisioned as a part of the conference program each day. Ranging from refreshment breaks, to speed networking, to organized breakout and roundtable sessions. All refreshment breaks will be held in the exhibition area, providing regular exposure throughout the day to your booth. For specific information about networking at this event, please refer to the Full Event Guide.
Both physical and virtual attendees will have access to our virtual platform for the conference schedule and updates. As a physical sponsor pass holder, you will not have access to the live stream of content, but you will be able to connect with the virtual attendees in numerous ways, individually through the chat function, in our 1-2-1 speed networking session.
We will have around 3 hours of networking built into the agenda throughout the day. This consists of various free-from and/or structured networking such as a 1-2-1 speed networking session which will randomly match you with other virtual participants in the meeting for short introductions. In addition to these sessions, you are able to directly message attendees to chat 121 or group video during the conference through the chat box function.

Yes, all physical and virtual attendees will be able to ask questions to speakers live using the Sli.do function. You will be able to access this either directly via the virtual conference platform
Onsite attendees can join breakout sessions, here discussions are grouped by shared interests e.g. a theme, topic area or question. These sessions will have a dedicated moderator who will set the context and start the discussion, after which you will be able to discuss the theme, topic area, or questions with your peers in the same room. This is your opportunity to get specific advice on your current challenges and share lessons learned in a more intimate setting.
Roundtables and breakout sessions will not be available to virtual attendees at this event; only the attendees of the physical conference will take part in these sessions. Take this time to network on the digital platform and explore our demo area to find more resources and information.
Both physical and virtual attendees will be encouraged to use the access provided to a virtual platform. This will allow you to send direct messages to attendees who have chosen to appear on the delegate list, ask live questions during all presentations, and provide real-time updates to the event schedule.

Tickets & Registration
Your physical registration includes full access to the conference (Day 1 & 2). The registration includes lunches, refreshments, and documentation. It does not however, include travel or accommodation.
Your virtual pass gives you access to all live-streamed sessions as well as live Q&As and networking sessions which will all be delivered via Hopin. In addition, everyone who attends the digital meeting will be given exclusive access to post-event materials after the meeting has run.
Virtual passes will only allow one attendee to access the virtual meeting platform and cannot be shared with colleagues or anyone else. Yes, you may register on behalf of someone else. When you book online we'll need you to provide the name, job title, company and contact details of the person you wish to register so we can make sure they receive their details.

Yes, both physical and virtual registrations can be transferred to a colleague at any time before the start of the event. Please contact your Partnership Director or Event Manager who will be able to assist you with your enquiry.
We do not offer exhibition-only passes, however colleagues not attending the conference but necessary for setup and breakdown will be permitted access to support during these times only.

Onsite Safety & Wellbeing
The safety and welfare of all our attendees remains paramount. We will adhere to government, local and hotel-specific guidance and regulations to ensure safety and hygiene measures are in place.
You will receive full guidance on specific provisions being put in place from your Event Manager 2-3 weeks prior to the event taking place. In the meantime, check out our health and safety commitment to see the type of provisions you can expect.
Please notify your Program Director or Event Manager immediately if you display symptoms of Covid-19 within 14 days of the event starting. Anyone displaying Covid-19 symptoms will not be permitted to attend the event in person but will be able to convert your registration to a virtual pass to the conference or transfer your pass to a colleague instead.

Yes, there is a virtual Demo Area where each sponsor will have their own "booth" for you to engage with them. In addition, the Demo Area will also include live and pre-recorded videos from our partners.
The best experience will be provided on a laptop or desktop using Chrome and Firefox browsers. You can use a mobile device, however some functionalities may be limited because of the screen size. We encourage to use a computer, however, if you opt to use a mobile device, ensure you are on strong Wi-Fi connection, as mobile phone networks are likely not going to have the required internet speed to handle video streaming.
